This Privacy Policy explains how we collect, use, store and protect your information in line with the laws of Bangladesh and widely accepted data-protection practice.
1. Information we collect
- Personal information: full name, email address, phone number, billing details and educational background.
- Enquiry and counselling data: details you submit through our counselling form or share in phone calls, so our team can answer your questions.
- Messaging data: messages you send us on WhatsApp, Facebook Messenger or other Meta platforms, including the phone number or profile they come from.
- Technical data: IP address, browser type, operating system, device type and usage behaviour, via cookies and analytics tools.
- Learning activity: app logins, class attendance, recordings watched, assignments submitted and AI mentor questions.
- Payment information: transaction ID, payment method (bKash, card, etc.) and confirmation details. We do not store full card or wallet credentials.
2. How we use your information
- To answer enquiries and arrange counselling calls
- To register you in a training program and manage your access to live and recorded classes
- To run the Urban Academy app and track your progress
- To send class updates, reminders and relevant offers by SMS, email or WhatsApp
- To issue certificates and provide post-program support
- To measure and improve our website, ads and classes
- To comply with legal and financial regulations
3. Where your data is kept
Enquiries, counselling notes and enrolment records are stored in Urban Academy's own customer-management system (CRM), on servers we control. Access is limited to staff who need it to serve you.
4. Information sharing
We do not sell, rent or trade your personal information. We may share limited data with:
- Service providers that help us deliver our services, such as hosting, email, SMS, video-class and analytics providers
- Meta Platforms (Facebook, Instagram, WhatsApp), when you message us there or when we measure our ads. Ad measurement uses hashed (encrypted) identifiers.
- Urban Tong, our sister workshop, only for graduates who are selected for supervised client work and agree to it
- Legal authorities, if required by a court order or applicable law
5. Cookies and tracking
We use cookies and similar technologies to remember your login, analyse visitor behaviour (Google Analytics, Meta Pixel) and improve our pages. You can disable cookies in your browser settings, though some features may stop working.
6. Data retention
We keep your personal data for as long as you are enrolled and for up to 12 months afterwards, unless the law requires us to keep it longer (for example, payment records). After that, data is anonymised or securely deleted.
7. Your rights

8. Data protection
We use reasonable physical, digital and administrative safeguards, including SSL encryption, restricted admin access, secure payment gateways and regular backups. No system is 100% secure, so please take care when sharing sensitive information online.

We may update this policy when our services or the law change. Significant changes will be communicated by email or in the app.
